    Car Parking

    Free parking is available for exhibitors in the car park at the end of the service yard, next to the entry gate. Pay & Display is in operation at other car parks at P&J Live. For further details on tariff information and how to pay, please visit the venue's website. Please note that vehicles may not be left overnight without pre-arrangement with the P&J Live Event Manager, via the Operations Team.

    Carpet

    The hall is carpeted throughout with grey carpet tiles. 


    Carpets and other floor coverings must be at least flame-retardant according to DIN 4102 - B1 and/or EN 13501-1 class C. Test certificates stating the classifications of the building materials employed should be kept available on stands at all times.

    Catering

    Lunch is included for exhibitor pass holders.  


    A wide range of exhibition catering options can be ordered through the P&J Live on-line shop. If you require anything that is not in the shop please contact Graham Mutch at gmutch@pandjlive.com. All alcohol served must be purchased from the venue due to licensing restrictions.

    Children

    The exhibition halls are regarded as a building site during build-up and breakdown and, as such, no-one under the age of 16 is permitted entry either alone or accompanied by an adult. All children under the age of 16 must be accompanied by an adult during the show open period. 

    Cleaning & Waste Disposal

    The exhibition hall will be cleaned prior to show opening and each event evening. This will include all public aisles and common areas and, where possible, stands will have light vacuuming. Closed storage rooms will not be cleaned unless someone is on the stand. Additional cleaning work can be ordered through the P&J Live on-line shop. It is the exhibitor’s responsibility to keep their stands tidy and for ensuring that waste is deposited in accordance with the rules on waste disposal. For health & safety reasons it is important that all exhibitors and contractors keep aisles and walkways clear of rubbish. Any items left in the aisles are subject to being cleared away, regardless of whether or not they are waste. 

    Cloakroom

    Cloakroom facilities will be available at Floating Offshore Wind free of charge.

    Co-Exhibitors

    Organisers of large pavilions can register co-exhibitors directly with RenewableUK. Only by doing this can you ensure that your co-exhibiting company will benefit from a separate entry in the Floating Offshore Wind 2024 online exhibitor list and website.

    Communication to Co-Exhibitors

    Each exhibitor receives login details to the Exhibitor Hub. Co-exhibitors also get access to the HUB to allocate passes. If you are a main exhibitor and you wish to have an overview of all login details belonging to your co-exhibitors, please contact us via the above channels.

    Compressed Gas

    The use of compressed gas is not permitted at without specific approval.

    Demonstrations

    • Any exhibitors planning a working demonstration on their stand must inform the Exhibition Operations Team by 23 August 2024.
    • Demonstration areas must be clearly indicated on your stand plans. If necessary, soundproofing must be included within the construction of this area.
    • Plans must also show any proposed queuing and viewing areas within the stands. 
    • The Organisers reserve the right to ban working demonstrations on site if they disturb neighbouring stands or pose a threat to the public in any way.

    Delivery and Removal of Goods / Storage

    Deliveries will not be accepted before Monday 7 October 2024. Any deliveries that arrive before this date may be refused or stored at the exhibitor’s expense. For a full list of access times for deliveries please refer to the Event Timetable. If you have any concerns regarding these time-frames please contact the Operations Team to discuss.

    During the show: under normal circumstances, no goods may be delivered to, or removed from, stands during the open hours of the exhibition.


    Access to the hall: during build-up days all exhibitors and contractors will be able to enter the Hall via the Service Yard and rear roller doors or ‘Sub-T’ (subterranean) car park, or via the main front entrance. 


    For any large deliveries, please follow the road signs to the Service Yard (access here is for unloading/loading only). Proceed to the ‘Sub-T’ car park with any hand carry items. On event days, access will not be possible via the Service Yard.


    Forklift: CEVA Showfreight is appointed by RenewableUK as the sole official logistics contractor at Floating Offshore Wind 2024. This puts CEVA in the unique position of being the only authorised company to operate forklift trucks and cranes inside the hall at the exhibition.


    Storage: There is very limited facility for re-stocking on site. For safety reasons packing materials cannot be stored behind stands; exhibitors are responsible for the daily removal of all packaging materials. There is no free storage facility on site, so it is important that you include in your stand design sufficient area for all products and literature required at the show. 


    Shipping: Any exhibitor requiring shipping and/or transportation of crated or boxed materials should contact CEVA Showfreight.

    Disability

    Under the Equality Act it is required that exhibitors make all reasonable efforts to ensure that disabled visitors are able to enjoy the same experience on exhibitors' stands as able-bodied visitors. This may include, but is not limited to, ensuring that there is ramp access onto any platform, ensuring any signage is presented in a large font; that any printed material is available in large font or an audio version is available. Please ensure that your staff are fully briefed to the needs of your potential disabled customers. Please see the Accessibility section of the eGuide for further information.

    Distribution of Promotional Material

    All business, including the dispensing of literature and promotional material, must be conducted from your stand. It is not permitted to distribute leaflets etc at the entrance to the event, in the gangways or any other part of the exhibition hall. Please note that materials must not be attached to the fabric of the building. Any costs which result from the removal of this kind of material will be charged to the exhibitor responsible.

    Electrical

    All electrical contractors are required to test their electrical installation to a minimum standard demonstrated in the Current EIA Electrical regulations, also Incorporating BS 7671 17th edition. Please refer to the eGuide. 


    The official contractor for all electrics is P&J Live. Shell Scheme stands will be provided with UK electrical socket(s) and spotlights. Space Only stands will not be provided with electricity and will have to order from P&J Live. If power is required during build-up or breakdown please contact Craig Paterson at CPaterson@pandjlive.com. 


    All electrical appliances used by exhibitors must be compatible with standard UK voltage provided by the venue, as to ensure safety in use. May we remind you that UK sockets will be supplied, so you may need to bring an EU/UK adapter for any electrical devices you may bring from outside the UK. All electrical items must be marked as having been PAT tested.


    Adaptors: multi-way plug-in type and bayonet adaptors shall not be used. The use of trailing/block type 4-way fused sockets shall be restricted to the following:

    • one 4-way unit per fixed socket outlet, subject to a maximum loading of 500 watts total. Its plug shall be fused accordingly
    • a maximum flexible cord length of 2 metres from plug to trailing block unit.


    The electricity network is divided into sections within the hall.  The current for the respective sections cannot be engaged, for safety reasons, until all the installations on a block of stands have been made.


    Shell Scheme Stands: these stands come with the following electrical package: 2 spotlights and 1 socket per 9sqm. For more information, please refer to the Shell Scheme Stands section. For any additional electrical requirements or enquiries please contact P&J Live.


    Space Only Stands: no power is included with Space Only stands. Please order with P&J Live; contact Craig Paterson if power is required during build-up or breakdown.

    Emergency Gangways

    The exhibition hall will have designated emergency gangways. These must be kept clear at all times throughout build-up and breakdown. All exhibitors and contractors on site are responsible for keeping these aisles clear.

    Fire & Safety Regulations

    The venue has a comprehensive fire alarm system and fire-fighting equipment. Fire stations must be always visible and accessible. Fire stations can be fire hoses, fire extinguishers or fire alarm points. Fire exits should be kept free of obstruction at all times. Exhibitors and contractors should acquaint themselves with the location of their nearest fire exit and fire assembly point. If an emergency situation arises please follow the venue staff's instructions.


    Event Management wish to stress the importance of a consistent check being made on the contents of exhibitors' stands to see that no unidentified package, case or bag has been left unattended. In any case of doubt, the article should not be handled; inform a member of the Organising Team or a member of the venue staff if you suspect an emergency situation. 


    Stand walls and ceilings should be made of classified fire-retardant materials ie as good as or better than wood. Particle board, nonporous fibre-wood, plywood etc are acceptable. Fire-retardant materials must be approved. Approval or certificates must be available at the stand should our floor manager request them. Temporary furnishings and decorations must be in non-flammable materials or fireproofed in line with the relevant regulations. Flammable gases/liquids/objects may not be used or stored indoors without relevant documentation and approval from the Organiser and the P&J Live Event Manager. Use of fire or naked lights (including candles) is strictly prohibited.


    Packaging and other flammable material must not be stored at the stand or in the exhibition hall. Any material left at the stand after the event has closed will be classed as waste and the exhibitor will be invoiced for its disposal.

    Any person requiring first aid treatment should come to the registration area and a staff member will contact the P&J Live staff.

    Insurance

    Floating Offshore Wind 2024 exhibition contracts and policies require all exhibitors to have a valid Public Liability Insurance of £5,000,000 and to insure any equipment or goods that will be brought into the exhibition hall. Public Liability Insurance is not the same as Employers' Liability Insurance, which is mandatory in the UK.


    Public Liability Insurance covers the cost of claims made by members of the public for incidents that occur in connection with your business activities. Public Liability Insurance covers the cost of compensation for:

    • personal injuries
    • loss of or damage to property
    • death


    You may already have Public Liability cover; however, it is important to note that not all business policies offer cover for organised events taking place outside your business premises.  If in doubt you should consult your insurance provider.


    Please use the Exhibitor Public Liability Insurance form to submit proof of your insurance cover.

    Internet

    P&J Live offer complementary wi-fi for all exhibitors. This is suitable for light browsing of emails and social media. To access, join the “P&J Live Free Wi-Fi” network and connect via your preferred browser. If you require a dedicated bandwidth, or hardwired connection, apply to P&J Live at CPaterson@pandjlive.com.

    The use of lasers is not permitted.

    Music / Entertainment

    If you propose to play music on your stand, or if you propose to use a TV, video or other means to play sound recordings or show films, you must obtain the appropriate licences. By law you require a licence to play music at the exhibition. The Performing Rights Licence and Phonographic Performance Licence can be obtained as a single licence: The Music Licence. You can find information on The Music Licence on the PPL PRS website.


    Please ensure that any music and commentary for demonstrations, videos, presentations etc are kept at a level that will not interfere with neighbouring stands. The Organisers reserve the right to switch off any demonstrations, videos and presentations etc that are causing a disturbance or an obstruction in the gangways.

    Neon

    If you wish to use neon lighting, please contact the Operations Team. All neon installations must incorporate a fireman's switch.

    Onsite Orders / Order Queries

    Any exhibitors who have any queries during show build can visit the Exhibitors' Desk. This will be signposted at the Hall A entry. During show open times exhibitors should visit the Registration Desk with any enquiries.

    Organiser's Office

    The Floating Offshore Wind Exhibition Operations Team will be located on site in the exhibition hall. The Office will be open during tenancy hours. 

    Photography

    If you wish to bring your own photographer to the event, please note their pass would need to be purchased or within your own stand allocation.

    Registration

    Please refer to the separate Registration section of this manual.

    Rigging

    You must show all rigging proposals on your  submitted stand plans. All drop wires and rigging must be arranged  through P&J Live but is at the approval of the Organisers. Maximum  banner/lighting rig height is 4m for first two rows of the halls, and 5m  for the remaining rows, from the hall floor to the top of the  banner/suspension. Banners must be set back 1m from any adjoining  stands.

    If  you have a specific requirement to rig your lighting truss at a  different level, special dispensation must be gained from the  organisers. Please contact Inside Events: dianne.wright@inside-events.co.uk.


    All orders/requests for quotes must be accompanied by:

    • fully dimensioned plans
    • the total weight to be suspended
    • precise weight loadings for each individual suspension point
    • specification of the materials used
    • details of connection points
    • orientation of the suspended item within the stand


    Information should also be provided on any moving loads, flying performers or anything else out of the ordinary.

    Smoking & E-Cigarettes

    Smoking and e-cigarettes are not permitted within the halls at any point during the show and should only be used in the designated smoking areas externally from the hall. Cigarette end bins are available at all designated smoking areas and must be used.

    Stand Design

    All standfittings, exhibits and displays must stay within the footprint of your stand. No items may protrude into, or hang over, the aisles. 

    Stand Parties

    All stand receptions need to be approved by the Organiser and can be hosted within the official opening hours of the event but must not clash with the Official Drinks Reception. Once approval has been given, exhibitors should manage their catering orders directly with the official, exclusive catering provider via the P&J Live on-line shop.


    Alcoholic drinks may only be served on stands between 14:30 and 16:30 on day 1 and between 12:30 and 14:30 on day 2.

    Stand Security

    Whilst every reasonable precaution is taken during the show to ensure the premises are adequately patrolled, the Organisers of the event, and the venue, expressly disclaim responsibility for any loss or damage to property of any exhibitor from any cause.
     

    To help ensure good security at the show, please follow these points:

    • make one member of your team responsible for your company's safety and security at the exhibition
    • do not leave cash, handbags, mobile phones, valuables etc in unlocked drawers, cupboards or on exhibits on your stand
    • do not leave wallets in unattended clothing
    • check all lockable desks and cupboards are locked before leaving your stand
    • please note that build-up and breakdown days are high-risk periods. You are recommended to work in pairs so that the stand is manned at all times.
    • make sure you arrive prior to the official opening time and do not leave your stand at night before the hall is clear of visitors
    • should you have small valuables, which you wish to leave on your stand, you are advised to provide yourself with lockable steel cabinets or other safe storage areas.


    There is security cover during event tenancy dates and times. Should you require overnight security during the event, please contact P&J Live to discuss and receive a quote.

    Sustainability

    At RenewableUK we understand that our events can have an important environmental, social and economic impact. That's why we work to integrate sustainability into our events and aim to get the balance right for social inclusion, environmental protection, and economic growth. We're committed to working closely with our exhibitors and sponsors to ensure the exhibition and associated build are as environmentally friendly as possible. 


    We ask all our exhibitors and stand contractors to submit a sustainability plan indicating your efforts to minimise the environmental impact surrounding your exhibition stand. In addition, we require all exhibitors and stand contractors to adhere to our rules and guidance. Please make sure you read the Sustainability Guide section of this manual carefully and make special note of the banned materials at Floating Offshore Wind 2024.

    Waste Removal

    All exhibitors and contractors are obliged to manage their waste during build-up and breakdown, as well as during the exhibition opening days. Recycling bins will be available during build-up and breakdown. Bins are available to hire from P&J Live. 


    Any exhibitor/contractor leaving standfitting materials or waste in the halls at the end of the event will be invoiced directly by a minimum of £500 + VAT.
