    A - Z General Information

    Accessibility

    The ground floor of the venue is fully accessible, including the toilets. Step-free access to the first floor is via a lift in the Tobacco Stores private entrance, accessed from the outside of the building. There are disabled toilet cubicles on the first floor. 


    Under the Equality Act it is required that exhibitors make all reasonable efforts to ensure that disabled visitors are able to enjoy the same experience on exhibitors' stands as able-bodied visitors.  This may include but is not limited to: ensuring any signage is presented in a large font; that any printed material is available in large font or an audio version is available.  Please see the Space Only section for information on the use of platforms and ramps.


    Please ensure that your staff are fully briefed to the needs of your potential disabled customers. 

    AV Equipment

    Our official AV supplier for the event is Sterling Group. Click here for their order form. Orders should be placed by 5 June.  Late orders will incur a 20% surcharge.

    Balloons

    Balloons are not be permitted at the show.

    Candles / Naked Flames

    No flames are permitted in the venue. 

    Car Parking

    There is very limited car parking at the venue. The parking will be chargeable during the show open days. Please refer to the venue website for travel information. The address of the car park is:

    Children

    The exhibition halls are regarded as a building site during build-up and breakdown and, as such, no-one under the age of 16 is permitted entry.  As a professional trade event for the hair and barber industry we are unfortunately unable to admit any under 16s while the show is open.

    Cleaning

    Exhibitors are responsible for their own stands and for the disposal of debris and all waste materials. If a cleaner is required for a spillage on the floor when the show is open please ask at the Organiser’s Office. 

    Cloakroom

    A cloakroom will be available during the show open days. With the exception of VIP and Platinum ticket holders, there will be a charge for this service. 

    Compressed Gases

    The use of compressed gas and acetylene is not permitted. 

    Demonstrations / Presentations

    • Any exhibitors planning a working demonstration, or presentation, on their stand must inform the Exhibition Operations Team by 2 May.
    • Demonstration areas must be indicated on your stand plans.
    • Demonstrations, and viewing areas, must be kept within your stand space.


    Please ensure that any music or commentary for demonstrations, videos, presentations etc is kept at a level that will not interfere with neighbouring stands. The Organisers reserve the right to switch off any demonstrations, videos and presentations etc that are causing a disturbance or an obstruction in the gangways.

    Electrics

    The official contractor for all electrics is Sterling Events.  If you require lighting or power on your stand, please complete the order form. Orders should be placed by 5 June. Late orders will incur a 20% surcharge.


    The electricity network should generally be regarded as being "live".  Power to stands may be switched off overnight. Power to stands will be removed during breakdown. 


    All electrical items being used on site should be PAT tested and labelled as such.


    Multiway Adaptors

    Block type adaptors shall not be used.  The use of trailing, 4- way fused sockets shall be restricted to the following:

    • One 4-way unit per fixed socket outlet, subject to a maximum loading of 500 watts total. The plug shall be fused accordingly.
    • A maximum flexible cord length of 2 metres from plug to trailing 4-way unit.


    Power consumption: generally a 500w socket is suitable for using laptops, charging mobile phones or powering a small TV. For an accurate measure of the wattage required by your appliance please refer to its manual.

    Fire & Safety Regulations

    Victoria Warehouse has a comprehensive fire alarm system and fire-fighting equipment.

    Exhibitors and contractors should acquaint themselves with the location of their nearest fire exit and fire assembly point.  If an emergency situation arises please follow the venue staff's instructions. 

    First Aid

    A first aider will be on site throughout the tenancy. In the event of medical assistance being required, please contact the closest member of security, venue or organising staff, or ask at the organiser’s office. 

    Flooring

    The flooring of your stand will be the normal venue flooring in your stand’s area. You can lay an alternative floorcovering if you wish. Fixing of floor coverings to the hall floor may only be carried out using tape which has a low tack bottom, high tack grab top and does not leave any residue or cause any damage to the floor when removed. NEC approved carpet tape is recommended. All floor coverings must be anti-slip and maintained so that they do not cause a hazard. Both the floor covering and adhesive tape must be removed at the end of the exhibition. 

    Furniture

    You may bring your own furniture for your stand. Alternatively, click here for the online order form of our furniture hire company, Ability Hire. The deadline for orders is 13 June. An email address and telephone number for Ability can be found in the Contact Information section of this manual.  

    Graphics / Banners

    We have two companies offering a range of bespoke graphics for your stand. For details and deadlines please see the Order Forms section of this manual. MediaCo produce a wall vinyl that can be applied direct to the venue wall or floor of your stand.  Click here for an example of this type of graphic.

    Insurance

    All exhibitors must be covered by public liability insurance. You may already have Public Liability cover, however, it is important to note that not all business policies offer cover for organised events and activities taking place outside your business premises.   If in doubt you should consult your insurance provider.


    You are advised to insure all exhibits, display material, furniture and all other property to be contained on your exhibition stand.

    There will be free, unsupported wifi throughout the venue.

    Lasers

    The use of lasers is not permitted. 

    Lifting

    No forklifts or pallet trucks will be available on site. You are advised to use a vehicle with a tail-lift and bring any trolleys you require. Please note that access to stands on the first floor is by stairs only; there is no lift. 

    Liquid Petroleum Gas

    The use of LPGs/compressed gasses will not be permitted. 

    Music / Entertainment

    If you propose to play music on your stand, or if you propose to use a TV, video or other electronic means to play sound recordings or show films, you must obtain the appropriate licences.  By law you require a licence to play music. The Performing Rights Licence and Phonographic Performance Licence can be obtained as a single licence: The Music Licence.

    Neon

    If you wish to use neon lighting, please contact Exhibition Operations.  All neon installations must incorporate a fireman's switch. 

    Passes

    Build-up / breakdown wristbands must be worn during build-up and breakdown.  Wristbands will be sent out to all exhibitors who complete the Health & Safety Form. Further wristbands can be collected on site if needed.


    Passes for access on show open days will be available for collection on site. 

    Rigging

    All drop wires and rigging must be arranged through Sterling Events but is at the approval of the Organisers. Rigging is not possible in all areas of the venue.

    Banners must be set back at least 1m from any adjoining stands. 

    Stand Design

    The organisers may, at the expense of the exhibitor, remove or alter anything forming part of any stand, if in their opinion it is desirable to do so in the interest of the exhibition or if it does not conform to our Rules and Regulations. 

    Stand Manning

    Please ensure your stand is manned and exhibits displayed throughout the open period of the exhibition. 

    Sinks

    Back-wash sinks will be available during the show. 

    Stand Security

    Whilst every reasonable precaution is taken during the show to ensure the premises are adequately patrolled, the organisers of the event and the venue expressly disclaim responsibility for any loss or damage to property of any exhibitor from any cause.
     

    To help ensure good security at the show, please follow these points:

    • Make one member of your team responsible for your company's safety and security at the exhibition.
    • Do not leave cash, handbags, mobile phones, valuables etc in unlocked drawers, cupboards or on exhibits on your stand.
    • Do not leave wallets in unattended clothing.
    • Check all lockable desks and cupboards are locked before leaving your stand.
    • Please note that build-up and breakdown days are high-risk periods. You are recommended to work in pairs so that the stand is manned at all times.
    • Make sure you arrive prior to the official opening time.
    • Should you have small valuables, which you wish to leave on your stand, you are advised to provide yourself with lockable steel cabinets or other safe storage areas.

    Storage

    There is limited storage availability on site so it is recommended that you include in your stand design sufficient area for your products and literature. For safety reasons packing materials cannot be stored behind stands. Exhibitors are responsible for the daily removal of all packaging materials.

    Waste Removal

    All exhibitors and contractors are obliged to remove their own waste materials. You must completely clear your stand space before leaving at the end of the show.
